Facility Reservations

Outside of Athletic use, spaces within the Blue Zone are available on a first-request basis. Per department policy, no events may be scheduled for Wednesday-Sunday that UNC Football plays at home, and no events may be booked more than six months in advance.

Room Layouts

CAH staff can assist in planning the physical set-up to meet your needs. Please note that overtime fees are possible in order to flip the space between events. CAH staff will try to relay any potential overtime fees as early as possible. Due to the high volume of events and limited inventory, a final layout should be determined approximately 5 -7 business days prior to event.

Catering Policy

Rocky Top Catering has the first right of refusal for catered events. No outside food or beverage is allowed in the Blue Zone. Arrangements for linens, catering, and refreshments must be coordinated through Rocky Top. Once CAH has confirmed the date for your event you will be connected with Rocky Top Staff.

Event Parking

CAH does not oversee parking lots located on the campus of the University of North Carolina. Assistance will be provided to reserve parking lots and spaces with UNC Parking and Transportation Services. However, CAH and event staff are not responsible for fees incurred for parking services (cost to reserve lot, cost of any tickets incurred during event, etc.).

It is the responsibility of the client to procure appropriate parking passes for all set up, execution and tear down of an event, and to relay parking information to guests and all outside working staff for their event and ensure that parking procedures are followed. Client must relay all information relevant to parking to CAH staff prior to the day of the event.

Equipment

Equipment needs should be specified in your initial rental request. Please note that equipment availability is subject to change at any time and CAH is not liable should equipment become unavailable prior to your event. If equipment is not available the client will be notified as soon as possible. All reasonable efforts to substitute or repair equipment will be made or alternates will be rented at cost to the client.

Event Staffing

Client agrees that appropriate staffing for the event will be determined by CAH and may include security, audio/visual, custodial, and a CAH staff member.

  • For student hosted groups, there must be a faculty or staff representative present at every meeting, walk-through, and event in the Blue Zone.
  • We also offer the option to staff FANgineers (student workers) on large events at the client's expense. They may serve as elevator attendants, greeters, access monitors, or guides to direct people to the Blue Zone.
Decorating Policy

It is the intent of this policy to protect the interior of the Blue Zone and to protect the client from incurring damage charges. All decorations and equipment brought into Blue Zone spaces must be approved prior to the event. CAH reserves the right to refuse any decoration that violates fire or safety codes, damages property, harms persons or is otherwise deemed inappropriate.

  • No items can be attached to the walls or hung from the ceiling. The use of tape, nails, staples, or tacks is strictly prohibited. Any damage to building surfaces will result in a damage fee and the offending items will be immediately removed.
  • Do not use anything in an aerosol can such as spray glue, spray glitter, spray snow, or spray paint.
  • Small candles are allowed, as long as the flame is contained. Wax spills will result in additional fees. Please coordinate the use of candles with CAH prior to your event.
  • No torches or lanterns are allowed on premises, including exterior space.
  • No glitter or confetti may be used.

Any violation of the above rules will result in a damage fee and/or loss of rental privileges. The client may be charged for excessive litter, and therefore unusual clean-up, caused by the decorations and/or literature associated with the event.

Alcohol

See below for breakdown of alcohol policies:

University/Athletic Events:

  • Alcohol is NOT permitted at events for undergraduate students.
  • If serving alcohol, must provide CAH with an approved Provost form in order to serve beer, wine, and/or liquor.
  • Time limits for alcohol service vary by event. Contact CAH staff for more information.
  • Once the event date is confirmed, CAH staff will assist in providing necessary alcohol paperwork.

Private Events:

  • Private events that plan to serve alcohol must purchase and maintain a $1,000,000.00 liability insurance policy to fully protect the University of North Carolina and user from any and all claims of property damage and bodily injury that may arise from a usage of the facilities. Clients shall provide CAH with certificates evidencing the required coverage 30 days prior to the event.
  • If serving liquor in addition to beer and wine, must provide CAH with a Limited One-Time ABC Permit.
  • The time limit for alcohol service is 4 consecutive hours.
  •  Once the event date is confirmed, CAH staff will assist in providing necessary alcohol paperwork.
Liability

Client shall be responsible for the activities and actions of their guests and vendors. The client is responsible for any and all damages. CAH will not assume responsibility for the damage to, or loss of, any merchandise or personal property.

Lost and Found

CAH is not responsible for lost or stolen merchandise or personal property, but all efforts will be made to return lost items to the client. In the event of a lost item, please contact the CAH office.
